How to build a swipe file in Google Drive
A swipe file in Google Drive is free and you already have it. The folders, file names that make search work, a sheet for links, and where it falls apart.
TLDR
- Make a Swipe file folder, with a subfolder per type: Ads, Landing pages, Emails, Social, Onboarding.
- Name every file
brand_type_date_keywords. That’s what makes Drive search work. - Keep links in one Google Sheet, with a column for why you saved each one.
- It works for a few hundred files. Past that, you’ll want something that shows you the thing and reads the text inside it.
The folders

Steal more structure from the swipe file template. Keep it shallow: two levels, three at most. Deep folders are where things go to be forgotten.
Name files so search works
Drive searches file names well and file contents unevenly. So the name does the work:

- Brand first, so files group alphabetically.
- Type: ad, lp, email, social.
- Date as year-month, so it sorts.
- Keywords: what you’d search for later. The angle, the offer, the format.
Renaming every screenshot is a pain. Do it at save time or you won’t do it.
A sheet for links
Pages and articles don’t fit in a folder of images. Keep a _Links sheet with columns: URL, brand, type, date saved, tags, and why. That last column is the one that matters. “Nice page” is useless in six months. “Pricing toggle defaults to annual and shows the monthly price struck out” isn’t.
Where it falls apart
Honestly, Drive works fine for a while. Then:
- You can’t see anything. A list of file names isn’t a swipe file, it’s a filing cabinet. Grid view helps a little.
- Links die. The sheet points at pages that got redesigned or deleted.
- The text in screenshots is half-searchable. The ad said “free shipping”, the file name says “ad3.png”.
- Emails don’t fit at all. You end up forwarding them to yourself as well.
That’s roughly where people move to a dedicated tool. Savepad keeps a full-page snapshot of every link, reads the text in every screenshot, and keeps emails as emails, in folders and tags like the ones above. You can drag a whole Drive folder in at once. If you’d rather stay DIY but want more structure, Airtable is the next step up. Compare the options in the best swipe file tools, or see swipe file in Notion for the other DIY route.
FAQ
Can Google Drive search text inside screenshots?
Sometimes. Drive reads text in some images and PDFs for search, but it's hit and miss. Naming files well is what makes a Drive swipe file searchable.
How should I name files in a Drive swipe file?
Brand, type, and date, then a few keywords: northwind_ad_2026-03_free-shipping.png. Search finds file names reliably.
Can I share a Google Drive swipe file with my team?
Yes, share the top folder. Agree on the naming rules first, or it'll be a mess in a month.
